Location: St. Edward Parish
Reports to: Pastor
Collaborates with: Director of Operations (Parish Family) and staff at Saint Edward Parish as well as Michael Parish.
Position Summary
The Pastoral Assistant of Liturgy, Administration, and Ministry serves as the primary on-site leader and administrator of St. Edward Parish. This position assists the Pastor and Director of Operations in overseeing the liturgical life, ministry coordination, parish communications, facilities usage, and daily parish operations.
The role functions as a bridge between the English- and Spanish-speaking liturgies of the parish and directs toward unity within one parish.
This is a senior leadership position requiring strong pastoral sensitivity, administrative competence, and bilingual fluency.

- Saturday Vigil Mass - 5:00 PM (English)
- Sunday - 8:00 AM (English)
- Sunday - 10:00 AM (English)
- Sunday – 1:00 PM (Spanish)
The parish includes active faith formation programs, Hispanic ministry, youth ministry, and various devotional and service organizations.
Essential Requirements
- Fully bilingual in English and Spanish (written and spoken)
- Practicing Catholic in good standing
- Strong knowledge of Catholic liturgy and parish life
- Demonstrated leadership and supervisory experience
Major Areas of Responsibility
1. Liturgy & Sacramental Coordination
- Serve as Parish Liturgy Coordinator for all Masses and major liturgical celebrations.
- Oversee planning and execution of:
- Weekend Masses (3 English, 1 Spanish)
- Holy Days and seasonal liturgies
- Sacramental celebrations (Baptisms, First Communion, Confirmation, Weddings, Funerals)
- Recruit, train, and schedule liturgical ministers.
- Directly supervise part-time Music Director.
- Ensure liturgical space is prepared and maintained according to Church norms.
- Exercise decision-making authority regarding use and setup of liturgical space.
- Coordinate closely with clergy, visiting priests, and ministry leaders.
- Collaborate with the Pastoral Assistant for Liturgy at Saint Michael Parish to coordinate the presider schedule for priests across the parish family, ensuring adequate clergy coverage for all Masses and major liturgical celebrations.
2. Office Administration & Direct Supervision
Serve as Office Manager and chief on-site administrator.
Directly supervise:
- Full-time Bookkeeper
- Part-time Receptionist
- Full-time Custodian
- Custodian’s Assistant
Responsibilities include:
- Managing daily office workflow and staff accountability
- Overseeing parish office procedures
- Approving schedules and time-off requests (in coordination with diocesan policy)
- Ensuring facilities readiness for liturgies and events
- Maintaining personnel documentation in collaboration with the Director of Operations
- Check signing-authority as necessary
3. Facilities & Parish Hall Oversight
- Oversee scheduling and usage of parish hall and parish facilities.
- Exercise authority over decisions related to:
- Parish hall activities
- Space assignments
- Event logistics
- Liturgical environment setup
- Coordinate custodial preparation for events and ministry gatherings.
- Ensure alignment between parish calendar, liturgy schedule, and ministry use of space.
4. Ministry Liaison & Coordination
- Serve as liaison between the Pastor and all liturgy-related ministries.
- Coordinate communication between ministry leaders and parish office.
- Provide oversight and support to organizations such as:
- Altar Society
- Devotional groups
- Parish service ministries
- Assist in planning parish-wide initiatives and major events.
- Promote unity between English- and Spanish-speaking communities.
5. Faith Formation Support
- Meet weekly with Faith Formation staff for coordination and support.
- Provide administrative and operational assistance to:
- Director of Religious Education
- Youth Ministry
- Hispanic Ministry
- Assist with sacramental preparation logistics.
- Support record keeping and communication efforts.
- Provide HR-related support documentation while supervisory authority remains with the Pastor where designated.
6. Parish Communications
- Serve as primary communications coordinator for St. Edward Parish.
- Collect and edit bulletin content.
- Coordinate with communications personnel for final production.
- Oversee parish announcements, email communications, and event promotion.
- Ensure bilingual communication where appropriate.
- Coordinate messaging with Saint Michael Parish to maintain consistency across the parish family.
7. Parish Family Collaboration
- Work closely with the Director of Operations (who oversees finance, HR systems, facilities systems, technology infrastructure, and stewardship across both parishes).
- Implement parish family policies at the local parish level.
- Participate in leadership meetings as required.
- Support unity between St. Edward Parish and Saint Michael Parish.
